Recipients
Manage the people, businesses, and destination accounts used for outgoing payments.
A recipient is the person or business receiving a payment. Their profile includes identity, address, contact details, destination accounts, and related documents. Reuse an active recipient for future payments and add more than one destination account when needed.
Create or invite
Create a recipient
Use this option when you have the required information: person or business, legal name, full legal address, optional email, and optional internal nickname. Then add payment details.
Invite a recipient
Use an email invitation when the recipient should enter their own details. It stays pending until accepted; expired or revoked invitations cannot be used. Check for an existing profile or pending invitation before creating a duplicate.
Statuses
| Status | Meaning |
|---|---|
| Pending | Creation, invitation, or verification is not complete. |
| Active | Can be selected for new outgoing payments. |
| Inactive | Retained for history, unavailable for new payments. |
The profile also shows total paid and the last payment date when history exists.
Payment details
Destination details belong to the recipient, not to one bill, and can be reused once active. Available routes depend on country and currency:
| Route | Currency |
|---|---|
| ACH or Wire | USD |
| SEPA | EUR |
| SPEI | MXN |
| PIX | BRL |
| FPS | GBP |
Fields vary by route and may include holder, bank, account and routing numbers, IBAN, BIC, CLABE, PIX key, or sort code. Some routes require a complete legal address before saving.
Destination-account status
- Pending: saved, but not selectable yet.
- Active: usable for compatible outgoing payments.
- Inactive: retained, but unavailable for use.
- Error: correct or reenter the information.
Saved account identifiers are masked. A supported destination does not establish that every source account can send to it.
Use with supplier bills
During extraction, Pharos can suggest a recipient by supplier name or email. The person preparing the payment must confirm the match. Pharos does not automatically create recipients, change identities, or add or replace bank accounts using details printed on a bill.
If the suggestion is incorrect, find another recipient or create one.
Profile and activity
Open a row or card to view legal name, type, status, email, nickname, address, destination accounts, document requests, recent outgoing payments, total paid, and last payment date. Use the available actions to edit details or start a payment.
Documents
Profiles can retain or request tax documents and NDAs. Depending on the action available, upload a PDF, request a document by email, check request status, or download a received file. Pending documents do not activate a destination account; check the recipient and account statuses separately.
Edit a recipient
Update name, email, nickname, or address. Before changing a profile with payment history, confirm it is the same recipient, review destination accounts, and avoid repurposing it for another legal entity. Historical outgoing payments retain their recipient relationship.
Delete or deactivate
Deletion can be blocked by payments in progress, scheduled payments already processing, or instructions being confirmed. If only drafts or future payments that can still be resolved exist, Pharos may ask how to handle them before continuing.
Deleting a recipient retains financial history and recorded bills. To prevent new payments, use inactive status when available.
Search and filters
Search by name, email, or other visible details, and filter by status, payment activity, or document status. Similar names are not enough to identify a recipient: confirm legal name, email, address, bank, currency, and account ending before sending.
Troubleshooting
- Incomplete address: complete the legal address before adding payment details.
- Pending destination account: wait for activation or add another valid account; pending accounts cannot receive a new payment instruction.
- Multiple accounts: choose by currency, route, and last digits for each payment.
- Different account currency: choose a compatible route. For a supplier bill, payment currency must match the reviewed obligation.
- Bank details printed on a bill: verify through a trusted channel before using them. Pharos does not activate them automatically.
- Pending invitation: review its email and expiration before sending another or creating a duplicate.
- Deletion blocked: review linked outgoing payments, schedules, and drafts. Resolve or cancel pending items before retrying.
